Choosing a partner

How to choose a logistics partner: the questions that actually matter

Summary: Most forwarders sound the same in a sales call. Here's what actually separates a logistics partner worth keeping from one that just quotes well.

1. Why the cheapest quote is rarely the full picture

A low freight rate that doesn't account for customs handling, documentation errors, or a missed peak-season booking window ends up costing more than a slightly higher rate from a partner who gets it right the first time.

2. Questions about the actual route, not the general capability

Ask specifically about your lane, not logistics in general. Has this forwarder actually moved cargo on your exact route, through your specific ports or border crossings, recently? General experience isn't the same as route-specific experience.

3. Questions about what happens when something goes wrong

Every shipment eventually hits a delay, a hold, or a documentation issue. Ask what the actual escalation process looks like, who you call, how fast they respond, whether you get a person or a ticket number.

4. Questions about visibility and communication

Ask to see the actual tracking tool, not a description of it. Ask how often you'll hear from your account contact without having to ask first.

5. Red flags worth walking away from

  • A quote with no mention of customs handling or documentation, freight is only part of the job.
  • Vague answers about which countries or ports they actually operate in regularly.
  • No clear single point of contact, if you don't know who to call, that's the answer.
